  • Guidelines for PPT Presentation
    1. (a) Files can be uploaded to the local PCs in the lecture rooms during the coffee breaks or at lunch.
    2. (b) To avoid software compatibility problems (MS Powerpoint), speakers are advised to EMBED ALL FONTS in your Powerpoint file AND bring a backup PDF-version of your presentation.
    3. (c) Speakers should arrive in their session room 15 minutes BEFORE the start of your session to report to the session chair. A proctor will also be available in case you need technical assistance.
  • Guidelines for Poster Presentation
    1. Template and Size: Strictly abide by the template provided on the official website of IC3ECSBHI-2026.
    2. Contents: Poster must contain separate sections for Abstract, Introduction, Methodology, Results, Discussion, and Conclusion.
    3. Author(s) must focus on key findings with clear figures and tables, keeping minimal text.
    4. Font and Style:
      1. Poster Size: A0
      2. Heading: Font – Times New Roman, Size – 36
      3. Body: Font – Times New Roman, Size – 32
      4. Fig./Table Legend: Font – Times New Roman, Size – 26
      5. Font Colour: Black / Blue
    5. Submission: Author(s) must share the final digital copy of their posters. Designated areas will be provided for display of posters. Authors must bring their posters printed in 3 × 4 ft size.
    6. Best Poster Award: Posters will be evaluated based on:
      1. Visual components
      2. Presentation skills
      3. Relevance & impact of the work
      4. Problem framing & methodology
      5. Interpretation & Innovation
    7. Preparation: Ensure the poster discusses only the originality as per the accepted, unpublished manuscript.

Camera Ready Paper - Registration Guidlines

Kindly go through following steps mentioned below for submitting the final version of your Camera-Ready Paper & Copyright Form (eCF):

  1. For each accepted paper, the authors have to do separate registration.
  2. After making payment, kindly fill this Google Form: https://forms.gle/pdjhJHSqi5AxybTX6
  3. Prepare the final camera-ready version of your paper as per IEEE template Click here for Paper Template (Filename as: Paper ID).
  4. Revise your paper and ensure to incorporate all the reviewers’ comments & plagiarism/AI contents (checked by Turnitin/iThenticate) of camera-ready paper must be below 15%. Plagiarism/Similarity guidelines to be checked in this link: Click here for plagiarism guidlines.
  5. Login to CMT portal - author console for reviewer’s comments to incorporate them in the final camera-ready paper (mandatory).
  6. Authors must incorporate header and footer as follows in the final camera-ready paper:
    • Header: 2026 2nd International Conference on Cognitive Computing in Engineering, Communications, Sciences and Biomedical Health Informatics (IC3ECSBHI), February 12-14, 2026.

  7. The camera-ready paper is to be submitted through CMT portal-Author Console https://cmt3.research.microsoft.com/IC3ECSBHI2026 latest by 31st December 2025.
  8. Each paper must not exceed six (6) pages in IEEE format (https://www.ieee.org/conferences/publishing/templates.html). Papers beyond 6 pages are subject to additional charges as { $25 (Foreign Authors)/ INR 1500 (Indian Authors) per extra page upto max. 8 pages}.
  9. IEEE Copyright Form (eCF) must be submitted through CMT portal - author console for each accepted paper to get it published in the IEEE Xplore/ Scopus Database
  10. Validate the PDF file of camera-ready paper through PDF eXpress of IEEE https://ieee-pdf-express.org/account/login?ReturnUrl=%2F
  11. All accepted and presented papers will be submitted to IEEE for possible inclusion on IEEE Xplore subject to fulfil the IEEE requirements.

  • Important Note/ Declaration: Your paper will be excluded from proceedings at any level of quality checks carried out by IEEE. Conference organizers are not responsible if your paper detects plagiarism or any lack in quality reported by IEEE after submission of final proceedings (camera ready copies) to IEEE. Conference organizers are responsible for the technical quality of paper on the basis of reviews obtained. It is sole responsibility of author/s if their paper detects plagiarism even in later stages of quality check. No registration fee will be refunded in any case if your paper is excluded from proceedings by the IEEE.

General Instructions to Authors

Following are the general guidelines for paper template, submission and plagiarism, etc.:
  1. Paper must be written in English using Microsoft Word templates/PDF in A4 format.
  2. All figures and equations in the paper must be clear and properly numbered and arranged.
  3. Final camera-ready copy must be strictly in IEEE format, available on the IEEE website Click here for Paper Template
  4. Transfer of E-copyright to IEEE and presenting a paper in the conference is compulsory for publication of the paper in IEEE.
  5. If plagiarism is found at any stage in your accepted paper, the registration will be cancelled, and paper will be rejected, and the authors will be responsible for any consequences. Plagiarism must be less than 15%.
  6. The content must be original and entirely human-written. AI-generated or AI-assisted content is strictly prohibited and may lead to immediate rejection or withdrawal at any stage.
  7. Changes in the paper title, name of authors, or affiliation of authors will not be allowed after registration of papers.
  8. All the references in the research paper should be cited in the text/ literature of the paper.
  9. The registration fee is non-refundable under any circumstances, including failure to comply with the above conditions.
  10. All presentations will be conducted in Physical Mode. However, few online presentations will be permitted after due approval under special circumstances.

Accommodation Facility

Accommodation facility to all the participants/authors/delegates on first come first serve basis will be available in the GBU guest house in the campus on nominal university charges as follows:
1. GBU Guest House : ₹590 per day
2. International Convention Centre : ₹1190 per day
